How to book

I. Booking


Welcome Inns are member accommodations registered in WIRC (Welcome Inn Reservation Center). You can make a reservation at any Welcome Inn, using one of the following methods. Whichever you may choose, you are requested to make membership registration to save you trouble and time. Booking by telephone or e-mail is not acceptable.   

 

  1. Over the Internet

    1. Search by location or your conditions on https://itcj.jp/
    2. Click “Details” in the list of Welcome Inns meeting your conditions.
    3. Click “Apply” when you apply for reservation.
    4. Enter your member ID and password. Then you can proceed with submitting your application for a reservation.
    5. You will receive a response by e-mail from the Welcome Inn within 3 days.

    *Application Deadline: Deadline differs according to each Welcome Inn from 5 days to 14 days inclusive before check-in date

II.  Cancellation or Change


  1. Over the Internet
    1. Log in and access your “” at the top right hand side of our home page.
    2. Click “Modify” or “Cancel” in your reservation record. In case you change your reservation, fill out the amending form and submit it through the system.

    *To avoid any trouble and penalty charge, please use our system rather than contacting the Welcome Inn directly. However, in case of emergency, please contact the Welcome Inn directly or any of our reservation counters.

    *Please check the cancellation policy of the Welcome Inn prior to submitting your request. The cancellation charge varies according to each Welcome Inn’s regulation.
    Payment of cancellation charge should be made directly to the Welcome Inn.

    WIRC’s head office is closed on Saturdays, Sundays, Japanese national holidays and during the New Year’s Holiday period (Dec. 29 – Jan. 3). If you ask WIRC’s head office to change or cancel your reservation, your request made on these holidays is processed after we reopen business, but is subject to the Welcome Inn’s and/or our confirmation.


III.  Reconfirmation

Some Welcome Inns require reconfirmation. If you receive an e-mail asking for reconfirmation, please log in, access your “” and click “Reconfirm” in your reservation record.

IV.  Payment

Please pay your total amount in cash or with your credit card when you check in. Some Welcome Inns accept cash only. For further detail, please visit the website of the Welcome Inn you are interested in. Deposit is not necessary.

V.  Disclaimers

  1. WIRC lists the information provided by each Welcome Inn, and is not responsible for its reliability.
  2. WIRC is not responsible for any damage caused by a guest and/or a Welcome Inn. Any dispute or loss between a guest and a Welcome Inn shall be resolved by the two parties.
  3. WIRC is not liable for any damage or loss arising from such causes as interruption or malfunction of the Internet provider’s service, a guest’s or a Welcome Inn’s misuse of the Web browser, e-mail program, fax or telephone, or the like.
  4. If a guest makes a reservation directly with a Welcome Inn, it will not be considered as one made through WIRC. Therefore, WIRC is not responsible for it. A guest shall directly contact the Welcome Inn to cancel or change the reservation.


Terms and Conditions

The following terms and conditions apply to the use of the reservation assistance service provided by the Welcome Inn Reservation Center (WIRC).

  1. Limitation of Liability
    WIRC accepts no responsibility for settlement of any disputes related to a guest’s stay at a Welcome Inn, except in cases involving failure to abide by terms of reservation agreements arranged through this service.

  2. Guaranteeing Your Reservation and Payment
    Your passport number and credit card details are required to guarantee your reservation. WIRC shall not bill your credit-card account directly, but may pass the information to the Welcome Inn, which may then bill the event that you fail to follow their cancellation policy. All charges are to be settled directly with the Welcome Inn itself.

  3. No Double Booking
    You agree that you will not attempt to book directly with a Welcome Inn that you have asked us to book for you.

  4. Number of Persons for application through WIRC
    WIRC accepts reservation requests for parities of up to 10 persons.

  5. Cancellation or Change
    In case you change your reservation, fill out the amending form and submit it through the system. Log in and access your “” at the top right hand side of our home page. Click “Modify” or “Cancel” in your reservation record. To avoid any trouble and penalty charge, please use our system rather than contacting the Welcome Inn directly .

  6. Late check-in
    If you are not able to check in by the planned check-in time given on the application form, please let the Welcome Inn know in advance by telephone. Otherwise your reservation may be cancelled.

  7. Refusal of Service for Dishonest Acts
    If a guest commits any dishonest act such as being a no-show, practices harmful manners toward other guests or disrupts our service, WIRC will remove the guest’s name from the member list and stop providing the service.

  8. Japanese law applies to your use of our service even if you use this service from outside Japan.

  9. Policies and Conditions Subject to Change without Prior Notice
    WIRC reserves the right to make changes, without prior notice, to our reservation system, policies (including to these terms and conditions) and to the contents of our directories and related websites.
